The main responsibilities of the Sales Support Specialist include customer master data management, providing direct support to the sales team, and conducting data analysis. Additionally, the Sales Support Specialist may engage with customers and undertake essential administrative duties.Contract Administration
- Contract Preparation and Distribution: Prepare and send sales contracts to customers for signature, collaborating with sales to ensure accuracy.
- Signature Follow-up: Proactively follow up with customers to ensure timely return of signed contracts, minimizing delays.
- Data Input and System Updates: Accurately input contractual data into ERP and CRM systems for customer registration and master data updates.
- Internal Contract Management: Ensure contracts are signed by both parties and stored in accessible folders for auditing and compliance.
- Proactive Communication: Maintain clear and timely communication with sales, customers, and internal departments to ensure smooth operations and positive relationships.
- New customer registration begins with a signed contract. This critical process involves proper master data checks to accurately input all customer information (legal name, address, tax IDs, banking, contacts) into our systems. Accurate data is essential for financial transactions, communications, and operations
- Both master data and due diligence insights are vital for this process.
- Daily Sales Inquiry Support: Provide prompt and accurate support to sales representatives and agents by addressing their daily inquiries concerning customer master data, ensuring all information is up-to-date and accessible. Additionally, clarify and explain contractual and other conditions to facilitate smooth sales operations and customer interactions.
- Bonus & Sales Commission:
- Proactive Data Maintenance: Regularly review and verify data accuracy.
- Prompt Update Implementation: Quickly reflect changes in both ERP and CRM.
- Validation and Verification: Ensure data integrity through automated and manual checks.
- Data Cleansing Initiatives: Periodically remove duplicates and correct errors.
- Change Management and Audit Trails: Establish clear authorization and maintain audit logs for accountability.
- System Synchronization: Ensure seamless data flow between ERP and CRM for a unified view.
- Sales Representative Activity Monitoring: CRM tracks activity, opportunities, and engagement.
- Performance Reporting: Generate qualitative and quantitative reports on sales rep performance, analyzing sales funnel and closed projects. Share insights with management for strategic decisions.
- New Customer Monitoring, Reporting, and Administration
- Manage routine responsibilities and specific customer requests with equal proficiency.
- Communicate with clarity and conciseness, both verbally and in written correspondence.
